[arch-devops] Bi-weekly infrastructure meeting
Hi All, We currently have a lot of things which are open and in progress. It would be nice if we where a bit more active in getting things done. I propose we hold a mumble or irc meeting bi-weekly on a to be scheduled time. If no one really objects, I'll create a time picker for when we can hold these meetings! Greetings, -- Jelle van der Waa

Sounds good to me! Would be especially important to cut down on bike shedding. Decisions made in those meetings should also carry a lot of weight and be written into some protocol on the wiki.

I'd stick with IRC meetings then so that we at least have automatic logs of what we talked about. Maybe we could also highlight decisions directly with a keyword so that we can easily grep for them. Florian

I'd prefer audio meetings so that discussions feel a bit more like real world meetings. Possibly using some online whiteboard at the same time. I do a ton of remoting with colleagues and in my experience, there is a world of difference between text and audio. Also, I don't think we need a full log, just a decision protocol. The latter is something we don't get out of IRC either. An IRC log is not a substitute for a proper decision protocol.

+1 for IRC. Any kind of voice chat requires more attention than I can give outside the work, meaning that I just won't attend. BP

I would assume Jelle meant every two weeks as twice a week seems pretty high cadence for a team that isn't full time on an effort. Would rather lean towards less meetings/more time to do the actual thing than the other way around. I've also personally found two weeks to be a good cadence in general for software dev. efforts/feature delivery.

Given that the team is distributed, are time zones a concern for conference/audio calls (i.e. would some of us need to be up at 1am while others at 3pm? etc.)? I think IRC allows for us to be more "async" in communication (not everyone needs to be present in the moment, people can respond as they are able to, etc.) as well as provide notes/logical flow but there's a certain level of fidelity you get in a phone call that you can't get in text based communications (i.e. tone in questions/statements/responses, mentioning smaller things that are easier to say than type, etc.). I think what would help discern if a call is necessary is determining the specific talking points/agenda. If it's a significant amount with much to discuss within each topic, I think a call makes sense (pending the timezone stuff). Otherwise IRC is probably the better medium. We also have the option of recording the call so we can play it back later/make notes off it, etc. if we decide that a call makes sense. We also have email however I don't think that medium implies the sense of urgency that Jelle is trying to get at (could be off the mark here, Jelle please correct me if I'm out of line or in the wrong). FWIW, every time listed there is early morning for me (Australian Eastern) so that would count me out - although I probably have the least to contribute to any meetings. Just delegate work to me and I'll do the best I can :D

So, the best fit seems to be Thursday 17:30-18:00 UTC. Let's start with a meeting the 28th. The meeting should discuss: - LDAP / Gitlab considerations - FluxBB Migration - Other Burning issues WIP projects. -- Jelle van der Waa
